Volunteer on site at ConvergenceĀ® 2024 - Thursday, July 11

Description

 

Thank you for your interest in volunteering at HGA's Convergence® taking place July 11-17, 2024 in Wichita, Kansas. We could not put on a successful Convergence without the support of many volunteers. 

 

To make it easier to coordinate and find volunteer opportunities, we have set up volunteer registration by day. We have a variety of needs. Please review the description of each volunteer position before registering. Prior to Convergence, all volunteers will be asked to attend a brief Zoom session for training so we may answer any questions you may have.

 

Once you register, please be prepared to commit. Please be on time. If for some reason you need to cancel, please let HGA know ASAP so we can find a replacement.

  2. Click "register" and on the next page, you will see a list of volunteer options. Only select the times and positions for which you can commit.
  3. Complete your transaction.
  4. An email will confirm your volunteer registration.
 
Volunteer Positions - Thursday:

 

Exhibit Installation: All but the wearable art exhibit will be installed on Wednesday. If we run out of time, exhibit installation may continue Thursday morning. The wearable art exhibit will be installed following Thursday night’s fashion show. Volunteers will be assigned to teams with each team assigned to an exhibit which they will work on installing until its completion which can take as little as 2 hours to as many as 10 hours. If your time is limited, please respond to your confirmation email so we may appropriately assign you to a team.

 

Exhibit Security: Exhibit security is responsible for securing the art exhibits. Primarily this means ensuring that viewers do not touch the piece (because we know it’s tempting).

 

Fashion Show: This is an all-day experience (with breaks) and includes pre-production, rehearsal, and show. Volunteers will help prepare the wearable art exhibits for the show and dress the models.

 

Marketplace Entry: Volunteers will check attendee credentials to enter the Marketplace (Exhibitor Badges, CVP Badges, Day Passes, etc.) and refer to registration if necessary.

 

Marketplace – HGA COE Booth: HGA has one booth in the Marketplace for the Certificate of Excellence (COE). Volunteers will monitor the booth, answer questions, and sell COE Handbooks.

 

Marketplace – Silent Auction: Volunteers are responsible for monitoring the silent auction to ensure that pieces do not walk away. They will assist bidders with registration to participate and will ensure that bids are raised by the necessary incremental amount. Volunteers assisting after the silent auction closes will help prepare the items for pick-up.

 

Marketplace – Vendor Booth Sitters: Volunteers will assist vendors by sitting in their booth so they may take a break to use the restroom, grab a beverage, or get a bite to eat.

 

Registration and Volunteer Check-In: At registration and check-in, these volunteers will be handing out goody bags, selling day passes, and checking-in volunteers.

 

Ticket Takers: Ticket takers are responsible for taking tickets before events and checking badges to make sure the attendee has the credentials to attend.

Photography Release: By registering for Convergence®, I understand that I give HGA permission to use (display, publish, etc.) any photograph(s) made of me at this conference for HGA marketing purposes, including advertising and publicity in print and electronic environments.

COVID-19 Liability Waiver and Release of Claims: Registrant/Attendee agrees to follow all health and safety guidelines announced by HGA and/or the facility prior to and during the event. Registrant/Attendee acknowledges and agrees that they are attending voluntarily and at their own risk, and release and waive any claim they might have against HGA, and its officers, directors, employees, and agents for any and all liability or responsibility for any illness, damages, or injury whatsoever that they may incur in connection with their attendance, including, without limitation, as a result of exposure to COVID-19 or the manner in which Convergence® is conducted.
